Events are used to keep track of what's going on in your community. You can set community-wide Events or specific Group-Events (they work the same). You can create stand-alone events or recurring/related events. You can keep notes on how events go (see: Event Outcome). You can keep attendance for your events. Events really give you a lot of bang for your buck when it comes to using Fresh Vine. They really help you understand who is involved where, when, and how often.
Access Required Community: Community:Events
Access Required Group: Groups
The Events module is identical in Fresh Vine, whether it's a group event or a community-wide event. The main difference is your access level. Once you have the correct access, create as many groups as you'd like (with approval, of course)!
One way to make the most of Fresh Vine is to create Events. A few tips:
- Make sure your event names are original. You may need to create another similar event in the future, and you want to make sure the names stand on their own.
- It's a good idea to add a short description to your Event Details. As you have other staff or volunteers helping out in Fresh Vine (taking attendance for you, writing a note about the event, etc.), it would be helpful for them to see the Event Description to make sure they're in the right place.
- Event Start/End: When does your event happen? Put that time here!
- Does it cost anything?
- Set your location!
- Enter the address of your Event here. It will let people know where your event is when they look at it in the portal!
- Does your event happen more than once? You might want to make Related Events! More on that next!
Related Events are essentially recurring events in Fresh Vine. When you have an event that occurs week after week (or some other interval), we provide you with the ability to "extend" the event. This perpetually creates your events until a specified date.
For example: You are creating an event that meets once a week for the next six months. Your first meeting starts on the 2nd of this month (happens to be a Wednesday). You enter your event information and get to "Related Events." You want to "extend" your event to meet every week. Then select "Extend past Event by Every": 1 week or 1 Wednesday until (a date 6 months from now). In this case, 1 week or 1 Wednesday will produce the same result: creating your event every Wednesday for the specified time period.
Once an event has finished, you (or your group leaders) can answer preset questions, describing how the event went. This is a great way to keep track of how things are going across your community.
A few examples of questions you could use:
- How did the event go?
- Do you have any questions/concerns?
- Are there things you could do/that you need to make the event go better next time?
You can view all events for your whole community, as well as each group. Notice that you can filter the list of Events to find the exact one/s you're looking for.
We've also included a list or calendar view (at the top-right of the Events list).
From this Events list, you are able to quickly navigate to view a specific event, edit it, or jump right to the Attendance page for that event. We've tried to keep things as simple as possible for you, with the things you do most often front and center.
You can view all the events for a particular group, or all community-wide events in the calendar view. This can be found in the navigation, or the upper right corner of the Event List (click View Type). This is a great way to visualize everything going on in a given week.
There are several ways to get to the attendance page in Fresh Vine. You may get a notification that will take you to the right page, or you may navigate there from the Event List. Either way, once you get there, there are two things to make note of. First, you can enter the total number of people who came to your event. If you just want to keep track of the general numbers, this is a great option. Second, you're able to add attendance by person.
Fresh Vine lists group members on Group Event Attendance pages. On community wide Events, you can add individuals by name (or use the Event Kiosk, and have them check into the event).
You can remove or delete a single event, all future events, or all related events. Removing an event will also remove all info stored with that event (attendance, and notes).
